RECEPTIONIST – SKIN & COSMETIC CLINIC

Location: Hargeisa, Somaliland

The Receptionist is the first point of contact for clients visiting the clinic. The role involves providing exceptional customer service, managing appointments, handling patient inquiries, maintaining accurate records, supporting clinic operations, and ensuring a smooth and pleasant patient experience from arrival to departure.

KEY RESPONSIBILITIES

* Welcome and assist clients professionally.

* Manage patient check-in and check-out.

* Handle phone calls, emails, WhatsApp messages, and inquiries.

* Maintain a clean and organized reception area.

* Schedule, confirm, and reschedule appointments.

* Coordinate follow-ups and treatment bookings.

* Send reminders and manage missed appointments.

* Maintain accurate patient records and clinic documentation.

* Generate invoices, collect payments, and reconcile daily transactions.

* Prepare appointment schedules and operational reports.

* Ensure confidentiality of patient information.

* Explain clinic services, treatments, packages, and promotions.

* Follow up on leads, inquiries, and existing clients.

* Support treatment package sales, renewals, and referral programs.

* Handle client concerns and escalate when necessary.

* Coordinate with doctors, therapists, and support staff.

* Monitor front-office supplies and clinic standards.

* Assist with patient engagement activities and promotional events.

SKILLS

* Excellent communication and interpersonal skills.

* Strong customer service orientation.

* Proficiency in MS Office and clinic management systems.

* Good organizational and multitasking abilities.

* Basic billing and cash-handling knowledge.

* Professional appearance and positive attitude.

Skills and qualifications

REQUIREMENTS

* Bachelor's degree or equivalent preferred.

* 1–3 years’ experience in reception, customer service, healthcare, wellness, or aesthetic clinics.

* Customer service or administration certification is an added advantage.
