1. Purpose of
the Position
The successful
candidate will ensure efficient service delivery, high standards of patient
care, effective financial management, and strong staff supervision. The role
also requires strict adherence to infection prevention and control (IPC)
standards to maintain a safe and professional clinical environment.
2. Key
Responsibilities
2.1 Reception
and Administrative Oversight
- Oversee reception and front desk staff
operations to ensure professional patient handling and service delivery.
- Ensure accurate patient registration,
appointment scheduling, and record management.
- Maintain confidentiality and oversee
proper documentation of patient information.
2.2 Financial
Management and Reporting
- Supervise daily financial operations of
the clinic.
- In coordination with reception staff,
prepare, review, and submit daily and monthly financial reports to CEO.
- Ensure compliance with established
financial procedures, billing systems, and accountability standards.
2.3 Pharmacy
Management
- Oversee pharmacy operations within the
clinic.
- Ensure proper procurement, storage, and
dispensing of dental medications and supplies.
- Oversee pharmacy staffs daily and
monthly pharmacy stock and financial reports.
2.4 Patient
Complaint and Feedback Management
- Receive, document, investigate, and
resolve patient complaints in a timely and professional manner.
- Ensure corrective actions are
implemented to improve service quality.
- Escalate serious complaints to senior
management with appropriate recommendations.

Coordination of Dental Practitioners
- Coordinate work schedules and duty
rosters of doctors and nurses.
- Facilitate effective communication among
dentists, nurses, and support staff.
- Support clinicians to ensure
uninterrupted and efficient clinical services.
2.6 Infection
Prevention and Control (IPC) Oversight
- Monitor and enforce staff compliance
with IPC policies and guidelines.
- Ensure implementation of standard
operating procedures related to hygiene, sterilization, and waste management.
- Coordinate regular IPC monitoring,
reporting, and staff orientation.
2.7 Staff Time
and Attendance Management
- Monitor staff attendance, punctuality,
dress code and adherence to assigned duty schedules.
- Ensure effective time management and appropriate
allocation of human resources.
- Monitor performance concerns and
absenteeism, escalating serious issues to senior management with appropriate
recommendations.
2.8 Patient
Follow-Up and Appointment Coordination
- Ensure systematic follow-up of patient
treatment plans and outcomes.
- Oversee appointment scheduling,
reminders, and patient recall systems.
- Maintain accurate records to ensure
continuity of patient care.
2.9 Meetings
and Coordination
- Organize and coordinate staff and
management meetings.
- Prepare meeting agendas, record minutes,
and follow up on agreed action points.
- Communicate management decisions and
policy updates to staff.
2.10 Staff
Management and Supervision
- Supervise and support clinic staff in
the performance of their duties.
- Promote teamwork, professionalism, and
adherence to clinic policies.
- Participate in staff performance
appraisal, capacity building, and disciplinary processes when necessary.
Skills and
qualifications
Qualifications
and Experience
- Bachelor’s degree in Health
Administration, Management, or a related discipline is preferred.
- Bachelor’s degree in Dentistry is an
added advantage.
- Minimum 5 years of experience.
- Previous experience in healthcare or
dental clinic management.
- Knowledge of dental clinic operations
and patient care standards
- Strong leadership, organizational, and
communication skills.
- Basic knowledge of financial and
administrative management, including reporting.
- Good understanding of IPC practices.

- Strong problem-solving and
decision-making abilities
- Ability to work under pressure and
manage multiple tasks
- Languages: English and Somali (mandatory),
Arabic (desirable).
