Job Requirement
DUTIES
AND RESPONSIBILITIES
- Process day-to-day payment transactions,
which involves recording them in the daily electronic journals and ensuring
accuracy and completeness, maintain a payments tracker, ensuring timely updates
and record-keeping.
- Prepare journal entries and bank payment
vouchers ensuring proper coding and prompt processing in the SAGE Accounting
system.
- Support AFOs in preparing monthly bank
reconciliations by identifying any discrepancies and working to resolve them
promptly and update the records of all bank transactions.
- Balance the accounts ensuring all the
payables and receivable accounts including staff accounts are in order. Also
ensuring all balance sheet reconciliations are supported by appropriate
documentations.
- Maintain and organize the filing system
including keeping all payment vouchers, journal vouchers, and bank vouchers
properly labeled and filed and ensure that all financial documents are
accurately stored and kept in compliance with LWF and donor requirements.
- Implement and maintain an efficient
archiving system that allows for both physical and digital record keeping and
ensure the documents are up-to date, properly organized and stored in line with
LWF retention policies.
- Participate in audit preparation by
ensuring that all relevant financial documents are properly archived and
readily available also locate any documents requested during audits, and
responding to any queries from auditors.
- Assist in the preparation of financial
reports by providing accurate data to the AFOs on a monthly basis and prepare
balance sheet reconciliations as needed, ensuring that all reports are complete
and accurate.
- Prepare and maintain payments tracker
and updating all departments on the payment status on a weekly basis while
ensuring that all payment records are accurately updated and reviewed by the
AFOs before documents are sent to the HQ.
- Assist in training new finance team
members on the use of SAGE accounting system and financial processes.
- Carry out relevant tasks related to finance
assigned by the FAO and relevant supervisor.
Skills
and qualifications
- Diploma in finance, accounting or
related field. A bachelor’s degree or partial qualification (e.g CPA, ACCA) is
an added advantage.
- Minimum of 2 years of experience in
finance and accounting, preferably in an NGO or international development
organization.
- Technical Skills:
- Proficiency in SAGE Accounting software
or similar financial management systems.
- Strong Excel skills and experience with
financial data entry and analysis.
- Knowledge of basic financial reporting
and reconciliation processes.
- Analytical Skills: Ability to
analyze financial data, identify discrepancies, and ensure accuracy.
- Communication: Good written and
verbal communication skills, with the ability to work effectively with
non-financial stakeholders.
- Teamwork: Demonstrated ability to
work collaboratively in a team environment, supporting colleagues and
contributing to a positive work atmosphere.
- Attention to Detail: High level of
accuracy and attention to detail, particularly in financial record-keeping and
reporting.
- Adaptability: Ability to work
effectively in a dynamic environment and adapt to changing priorities.
- Cultural Sensitivity: Understanding
of and respect for diverse cultural contexts in humanitarian work.
- Stress Management: Ability to
maintain composure and effectiveness under pressure, especially during peak
financial periods.
